Dear Exchange Coordinators,

Greetings from UTM International!

On behalf of Universiti Teknologi Malaysia, we hope that all of you are in
good health during this challenging time of pandemic Covid – 19.

As per stated in
https://www.utm.my/latest-notice-on-utm-teaching-and-learning-activities/ ,
we would like to update you on the important matters as follows:-

*1) Cancellation of Inbound exchange program for September 2020 intake*

It is regretful to inform that UTM has decided to proceed with no face to
face Teaching and Learning activities until the end of the year 2020,
except limited to certain courses that have been pre-planned and received
special permission from UTM and the Ministry of Higher Education Malaysia.
This includes the UTM Inbound Mobility Programme (Exchange programme,
Research Internship, Summer Program and Academic Visit). At the moment, it
is still unsure whether the commencement of the mentioned program will be
continuing physically as per normal next year and is subjected by the
announcement made from time to time.

*2) Amendment of UTM Academic Calendar*

We also would like to inform you that the UTM Senate has approved the
amendment of the new UTM Academic calendar which can be accessed at
https://academicmanagement.utm.my/services/academic-calender/ .

Therefore, the upcoming semester is expected to be run in October.

*3) Online classes for incoming exchange students for September 2020 intake*

Since we have decided to cancel the physical mobility programme, we would
like to inform that there are possibilities for the applicants or students
from partner universities to undergo the Virtual Exchange Program (VEP) for
the upcoming semester. We will send another update regarding the available
online classes and admission procedures somewhere in the end of June. To
those students who would like to consider taking our online courses, we
would like to suggest they get consultation with the coordinators from your
home university first and request them to contact us at
globaleducation at utm.my .

It is sad for not being able to run the physical mobility program in
Malaysia or specifically in our green campus, UTM for this coming semester,
but we really pray that the whole world may unite to overcome this COVID-19
outbreak all together.

*Frequently Asked Question*

*Can I simply defer my application to the February semester 2021 intake?*

No. You need to re-apply for the spring semester once the application is
open. We would also like to ask your home university to nominate you again.
Nomination and application for the spring semester will open in September
2020 and the deadline would be November 30. We will inform your home
university the details before the nomination period opens.

*Do I need to submit my application documents again? Can I reuse the
documents for the February semester 2021 intake?*

Yes, you must submit your application documents again via online exchange
application form at
https://www.utm.my/international/utm-student-exchange-program/

*What is the timeline of the application process for the October semester
2021 intake if you decide to offer all courses online and I would like to
attend the virtual exchange program?*

As informed, we will update about the available courses in Fall
2020/October 2021 intakes by the end of June. Students who are still
interested to join as Virtual Exchange Students are required to submit your
online application no later than 30thJuly 2020.  Students who have
submitted their online application will be considered as a “virtual”
exchange student based on your home university's nomination and approval.
The acceptance to undergo the Virtual Exchange Program will be decided by
your host faculty’s according to all the given information in your online
application. The acceptance results will be informed somewhere in the end
of August or early September.

*I am applying for 2 semesters, October 2020 and Feb / March 2021. Can I
take online classes for the fall semester and take face-to-face classes for
the next spring semester?*

It depends on the future situation, but if you are applying for 2
semesters, we are happy to have you take online classes for fall semester
(if we offer online classes) and receive you to our campus for the spring
semester (if we offer face-to-face classes at that time). However, we would
like to ask your home university and you to nominate again and re-apply for
Spring intake as we need to go through some process such as visa process,
insurance application and accommodation arrangement in order to accept
students physically.
